Kaleidoscope Learning is a Saint Paul-based nonprofit dedicated to supporting children and caregivers through community-driven programs, play, and shared resources. With a lean staff, the organization has built strong relational ties with families and has begun to establish itself as a trusted partner in early childhood support.

As Kaleidoscope is preparing to expand into it's second location - and first dedicated community space - the leadership team engaged Dept.1 for an On the House assessment: a pro-bono engagement for small nonprofits to gain clarity on infrastructure, processes, and systems to support that growth.

"Our organization is potentially looking at receiving a very large grant and we needed to think high-level strategically about how this would affect our organization and what systems we needed in place in order to make that successful."

Kaleidoscope is at a pivotal moment - a new space would quickly outgrow the current systems for daily tasks like visitor check-in, donation tracking, and volunteer coordination. Without a core digital operating system, the team would be left tracking participation, follow-ups, and impact data manually.

Through document reviews, facilitated discovery sessions, and multiple process prototyping exercises for digital check-in and fundraising, Kaleidoscope received a clear and actionable roadmap for growth that delivered clarity, structure, and practical tools to guide the organization forward.

"When you're working with consultants, sometimes you have to ensure that they're keeping their promises. Not only did Dylan deliver on his promises, but he made us much more productive and reflective."

The engagement positioned Kaleidoscope to approach their new space - and future grant funding opportunities - with a stronger foundation for sustainable growth.
