How Parenting with Grace found operational clarity while staying rooted in its mission

Parenting with Grace (PWG) provides supervised visitation, education, and wraparound support to families navigating separation, custody, and crisis. With a volunteer-powered model and growing fee-for-service revenue, PWG ensures children maintain safe, meaningful relationships with their parents during some of life’s most difficult transitions.


Despite its strong foundation, PWG faced persistent operational friction. Volunteer scheduling was ad hoc, data was scattered, and staff were stretched thin. Leadership knew the mission was too important to be limited by outdated processes — but needed a path forward that was practical, affordable, and aligned with how small nonprofits work.


"I was in pure chaos mode. I was really struggling with the idea of continuing to operate."


Through a collaborative discovery process with Executive Director Chrystal Fischer, we conducted a four-part analysis of PWG’s operational model. Together, we mapped the core volunteer journey, surfaced system gaps, and identified practical, low-cost fixes. Special focus was placed on program coordination workflows, internal communication norms, and tools that could reduce manual effort.


"We looked at where we were struggling the most to streamline some of our stuff. All of our sessions were really productive, everything was really organized."


The result was a clear, sequenced roadmap of improvements. This included restructuring volunteer onboarding into a streamlined intake pipeline, piloting a centralized calendar system for visit scheduling, and identifying a phased CRM transition that matched PWG’s budget and capacity. Alongside these process changes, the board was re-engaged through a targeted development strategy to strengthen fundraising and governance support.

With greater visibility into its operations and a plan to reduce burnout, PWG is now positioned to grow sustainably — preserving its relational strengths while equipping its team for deeper, lasting impact.
